This Privacy Policy explains how we collect, hold, use, and disclose personal information through [insert website domain] (the “Website”) and in the course of providing our recruitment, talent-matching, and visa-pathway guidance services (the “Services”), whether you are an Employer, a Candidate, or another visitor to the Website. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

By using the Website or our Services, you consent to the collection, use, and disclosure of your personal information as described in this Policy. This Policy should be read together with our Terms and Conditions.

  • Identification and contact details – name, date of birth, address, email, and phone number.
  • Candidate information – resume/CV, qualifications, employment history, referee details, language proficiency, professional licences, visa or citizenship status, and identity or visa-related documents (such as passport details).
  • Employer information – business name, ABN, contact person details, role requirements, and billing or invoicing details.
  • Screening and verification results – outcomes of background, reference, qualification, or identity checks carried out with your consent.

3. How We Collect Personal Information

3.1 Directly from you, through registration forms, document uploads, job applications, emails, phone calls, and meetings.

3.2 From third parties, such as referees, previous employers, background-check or verification providers, recruitment partners, or independent migration agents and lawyers — generally only where you have consented to that information being collected or shared, or where the law otherwise permits it.

3.3 Automatically, when you browse the Website, through cookies and similar analytics technologies (see Section 11).

4. Why We Collect, Hold, and Use Personal Information

We collect, hold, and use personal information to:

  • provide recruitment, candidate-matching, and screening services to Employers and Candidates;

  • send direct marketing communications, such as job alerts or newsletters, where you have not opted out (see Section 12).

5. Disclosure of Personal Information

We may disclose your personal information to:

  • Prospective Employers – for Candidates, this may include your profile, resume, and screening results, for the purpose of considering you for a role.
  • Background-check and verification providers – engaged to carry out checks you have consented to.
  • Independent migration professionals – Registered Migration Agents or immigration lawyers, where visa or sponsorship advice is required.
  • Service providers – IT, cloud hosting, software, payment, and communication providers that support our operations.
  • Professional advisers – lawyers, accountants, and auditors, where reasonably necessary.

We do not sell your personal information to third parties for their own marketing purposes.

6. Overseas Disclosure

Some Candidates apply from outside Australia, and some of the service providers we use (for example, cloud storage or software providers) may store or process personal information outside Australia.

Placeholder: confirm and list the specific countries where personal information may be stored or processed (for example, the location of your cloud hosting or HR software provider), if known.

Before disclosing personal information to an overseas recipient, we take reasonable steps to ensure that recipient does not breach the Australian Privacy Principles in relation to that information, except where you have consented to a different arrangement or an exception under the Privacy Act applies.

7. Sensitive Information

Some of our Services may involve collecting sensitive information, such as the results of a criminal history check. We only collect sensitive information with your express consent, and only where it is reasonably necessary to assess your suitability for a specific role or to meet an Employer’s requirements.

8. Security of Personal Information

We take reasonable technical and organisational steps to protect personal information we hold from misuse, interference, loss, and unauthorised access, modification, or disclosure, including access controls, secure storage, and staff confidentiality obligations. No method of electronic storage or transmission is completely secure, and we cannot guarantee absolute security.

9. Retention of Personal Information

We retain personal information for as long as reasonably necessary to fulfil the purposes described in this Policy, or as required by law. Candidate profiles may be retained on file to be considered for future suitable roles, unless you ask us to delete your information sooner. When personal information is no longer needed, we take reasonable steps to securely destroy or de-identify it.

Placeholder: insert a specific retention period if your business has a defined data-retention schedule (for example, “Candidate profiles are retained for up to 24 months from last contact”).

10. Access and Correction

10.1 You may request access to the personal information we hold about you, and ask us to correct it if you believe it is inaccurate, out of date, incomplete, irrelevant, or misleading.

10.2 To make a request, contact us using the details in Section 16. We will respond within a reasonable time. In limited circumstances permitted under the Privacy Act, we may decline access or charge a reasonable fee for providing it, in which case we will explain our reasons.

11. Cookies and Website Analytics

The Website may use cookies and similar analytics technologies to understand how visitors use the Website and to improve its content and functionality.

Placeholder: list the specific analytics or advertising tools used on the Website (for example, Google Analytics or Meta Pixel), as this affects what should be disclosed here.

You can disable cookies through your browser settings; doing so may affect some Website features.

12. Direct Marketing

We may send you information about job opportunities, recruitment services, or updates relevant to you. You can opt out of direct marketing at any time by using the unsubscribe link in our communications or by contacting us directly. We will not use your information for direct marketing if you have opted out.
